Undergraduate Travel Award Process

Are you presenting your research at a research conference? Start by following the steps below.

Step 1: Submit Your Travel Request

Before or after submitting your request:

  • International travel: Complete the Global Safety Network Form(see Step 4: International Travel below)
  • Rental car (under 25): Contact the Office of Science Engagement for instructions.
  • Flights: Must be booked through Penn State systems:

 

Step 2: Award Review

  • Application and PI letter will be reviewed by the Eberly College.
  • The college contacts your home department for supporting funds.
  • If you are a Schreyer’s Honor College student, then Eberly College will contact Schreyer to see if you have a pending award with them.
  • Notification will be sent to you and your PI of your travel award.
  • After travel: Submit receipts within four weeks to Kelly Bargo in the Office of Science of Engagement by email or in person by visiting 111 Ritenour Building.
  • If you don’t submit receipts and the appropriate paperwork, you will jeopardize losing your funds.

 

Step 3: Airfare Rules

  • Book economy class through Penn State travel systems.
  • Cancelled and unused air tickets: If you cancel and waste airfare, Eberly will not reimburse. Contact Anthony Travel immediately if plans change.

 

Step 4: International Travel

  • All students traveling outside of the United States must follow the University procedure for international travel which involves registering the trip, providing student information, completing the online emergency preparedness workshop (a mandatory pre-departure requirement for any undergraduate travel internationally) and receiving formal approval from the University.
